Thank you for your interest in being a vendor at the Southern Oregon Game Expo, hosted by Roll Play and Grow. We are excited to bring together creators, artists, and local businesses for a full day of tabletop gaming, community engagement, and family-friendly fun.

Below you will find important information regarding the event schedule, vendor expectations, raffle donations, and sponsorship opportunities.

📅 Event Date & Schedule

• Event Date: March 14

• Show Hours: 9:00 AM – 9:00 PM

• Vendor Load-In:

• As early as 7:00 AM on March 14

• All vendor booths must be fully set up by 9:00 AM

There may be limited opportunities for early setup the night before. Vendors requiring early access must arrange this individually in advance. Please note that Roll Play and Grow is not responsible for any stock or materials left overnight at the venue.

🎟️ Raffle Prize Donations

To support the success of the event and in lue of a vendor space rental fee, vendors with booths in the Olsrud Building are required to donate a raffle prize with a minimum retail value of $150 (or close to that amount)

Raffle prizes are a major draw for attendees and provide excellent visibility for vendors through announcements and promotions during the event.

⭐ Sponsorship Opportunities

In addition to vendor booths, we offer sponsorship opportunities for businesses looking for increased visibility before and during the Expo. Sponsorship options may include:

• Logo placement on promotional materials

• Verbal recognition during raffle drawings or events

• Enhanced booth placement (when available)

🧩 Vendor Expectations (Summary)

• Vendors are responsible for all sales, inventory, and payment processing

• Vendors must be prepared with backup payment methods in case of technical difficulties

• All products must be family-friendly; no sexually explicit or adult-themed items are permitted

• Vendors are expected to remain for the entire duration of the event

• Booth breakdown and cleanup may begin no earlier than 9:00 PM
